Microsoft 365 Apps for Enterprise

License activation and registration

Create a pseudonymizedMicrosoft 365 account(M365 account) to use the

  • local applications such as Word, Excel, PowerPoint, Outlook

Without:

  • Cloud-based versions of these apps
  • Special cloud-based services such as OneDrive, SharePoint Online, Exchange Online and Teams

The use of Microsoft cloud services is currently only permitted for research.

Alternatively,professors and academic staff can create a standard M365 account(M365 cloud account) to use Microsoft 365 including the Microsoft cloud services and web applications.

To be able to use Microsoft Office 365 (O 365) on the remote desktop servers of the RHRZ (win-ts.edu.rptu.de, win-ts.rptu.de, win-ts.zv.rptu.de) or on your work laptop, activate your Microsoft 365 account in the RHRZ service portal.

Under the menu item "Microsoft 365 Apps" you will receive your M 365 account name (ending in @mslic.uni-kl.de) and the corresponding password after activation.

If you are asked to enter login data when opening an Office application, use this pseudonymized M 365 account. Your RPTU account will not work at this point.

Log in to the service portal

Open a web browser. You can find the RHRZ service portal at https://serviceportal.rz.rptu.de.

In the left-hand column, log in with your RPTU account and the corresponding password. Use your RPTU account name as your user name (without @rptu.de)

Activate M 356 license

Once you have successfully logged in, you will find the menu in the left-hand column. Select the menu item "Microsoft 365 Apps"

You will now be taken to the page for managing your M 365 Apps for Enterprise license. Select "Retrieve Microsoft 365 Apps for Enterprise license" here.

Your M 365 account name and the corresponding password will now be displayed. Make a note of this access data in a safe place!

Activation may take a few minutes. You can use the"Update display" button to check whether the process has now been completed. Activation is then displayed under "Current status:".

You can now log out of the service portal. To do so, use the "Logout" link at the bottom of the left-hand column.

Logging in to an MS Office application

For example, if you want to use an MS Office application on the remote desktop servers of the RHRZ (win-ts.edu.rptu.de, win-ts.rptu.de, win-ts.zv.rptu.de), you must first log in to the application with your M 365 account.

Open an MS Office application, e.g. MS Word.

Do not use MS Outlook for the first login with your M 365 account. You can set up MS Outlook after you have logged into your account in Word or Excel for the first time.

If you are not yet logged in, a "Log in" button is displayed in the top menu bar. Select this.

In the Microsoft login dialog, enter your M 365 account name (not your RPTU account name!) and select "Next".

Then enter the password for your M 365 account and select "Log in".

In the following pop-up, activate the option "Allow my device to be managed by my organization" and select "No, only log in to this app".

Once you have logged in, you must restart the MS Office application.
To do this, close the program window of the MS Office application (e.g. MS Word) using the X in the top right-hand corner and open the application again.

You may have to enter your M 365 account again after restarting the application.

Repeated registration

When you sign in to your M 365 account, a so-called license token is automatically stored on your system, which contains the license information required to use the Office applications. However, the license token is only valid for a limited period of time, so you will need to log in again from time to time.

In this way, Microsoft ensures that the applications are only used by the licensed person.

In this case, keep the access data for your M 365 account in a safe place.

As soon as the license token expires, your Office application will inform you that your product is no longer licensed or will soon no longer be licensed:

  • If your product is no longer licensed (i.e. if the license token has already expired ), close the application and restart it. Then log in with your access data for your M 365 account (not with your RPTU account!).
  • If the license token has not yet expired, go to "File" at the top left and then select "Account" in the left menu.
    Select "Repair my login" and log in again with the access data for your M 365 account (not with your RPTU account!). Then close the application and restart it.
    You may have to enter your M 365 account again after restarting the application.

"Account error" Windows Remote Desktop Server

If you log out of an RDP connection to one of the RHRZ's Windows remote desktop servers(ts.uni-kl.de or ts-stud.uni-kl.de), the login data for your M 365 account will unfortunately not be retained for technical reasons. However, the license token is still available.

You will then see a small warning triangle in the top menu bar followed by "License User". If you click on it, you will see an "Account error". You can also see for which M 365 account the application used is licensed.

As long as the license token is still valid and you do not want to make any settings in your M 365 account, you do not usually need to log in again for your daily work.

This means that you do not have to take action immediately if an "account error" is displayed.

Only as soon as the license token expires is it necessary to log in to your M 365 account again in any case. (see Repeated login)
