Microsoft Campus Agreement

Framework agreement valid from May 01, 2021

RPTU has joined the Federal Framework Agreement 3.0 for Microsoft licensing. This Campus and School Agreement runs from 01.05.2021 to 30.04.2024.

Most important innovations

As of 01.05.2021, in addition to the classic Office Professional Plus (only one local installation per user!), the M 365 Apps for Enterprise can be used. Information on M 365 can be found on the Microsoft 365 page.

New regulations apply to collaboration with external partners and other universities.

Campus Agreement in a nutshell

  • As part of the license agreement, RPTU provides its students and employees withMicrosoft 365 A3 for study purposes or for work-related tasks.(No Windows for students.)
  • The M 365 license is activated by the users in the RHRZ service portal.
  • The license agreement does not include a basic license for Microsoft Windows. This must be purchased or be available when purchasing a computer (PC, laptop, notebook, thin client, workstation, etc.).
  • A second right of use (known as the "laptop rule" or "80/20") does not exist.
  • Only 1 local installation of Office Professional Plus is permitted per employee.

Microsoft 365 A3

As part of the Campus and School Agreement, RPTU can offer its students and employees software products from the education platform Microsoft 365 A3 to its students and employees.

Desktop products (Windows 10 and Office)

Students

As part of the Campus Agreement, students at RPTU are allowed to use Office 365 (Microsoft 365 Apps from M 365 Apps for Enterprise) on 1 private device, but only for the purposes of their studies and only for the duration of their studies. Any further private use is prohibited.

Students enrolled at RPTU may use Office 365 on a total of up to 5 devices as part of a Hiwi activity. However, the following also applies here: Only one of the possible 5 devices may be a private device in this case.

Windows 10 for private devices is not made available to students at RPTU.

You must activate your license via the service portal. The required installation files are also provided there. Only use the installation files from the service portal, as these contain the necessary (data protection) adjustments.

Employees

The licenses may only be used for official purposes, i.e. for the own purposes of at RPTU, its subsidiaries and affiliated companies.

Existing licenses, e.g. via the website www.bildung365.de, expire and cannot be extended.

Windows 10

Windows 10 can be installed by or for each employee on up to 5 work PCs or laptops used by him/her as the main user.

As this is an upgrade license, a qualifying base operating system must be available for the respective device.

In addition to remote access to terminal servers (Windows remote desktop servers), remote access to your own work device - used as the main user - is possible, regardless of which accessing device or operating system is used.
Other users must use a businessdevice licensed with Windows for remote access.

Only use the installation files from the service portal, as these contain the necessary (data protection) adjustments.

Microsoft Office

Office 365 (desktop apps from M 365 Apps for Enterprise):

Office 365 (O 365) can be installed by or for employees on up to 5 company PCs plus 5 company tablets plus 5 company smartphones that are used as the main user. Remote use of these devices is permitted.

O 365 can also be used on company loaner devices.

With Office 365 is a personal license, which is regularly authenticated to Microsoft in the background via an online connection.

You can activate your license activate it via the service portal. The required installation files are also made available there.

Office Professional Plus:

Office Professional Plus (OPP) may only be installed locally by or for staff on one device that is used as the main user, for example on the personal workstation computer.

Remote use or use of the installed OPP by other users of the device is not permitted.

OPP may not be installed on company loaner devices.

Only use the installation files from the service portal, as these contain the necessary (data protection) adjustments.

Official rental equipment

As part of the Campus and School Agreement (CASA) for use by employees and students at RPTU, the following can be used on official rental devices without a main userWindows 10 and Office 365 can be installed (remote use possible).

Office Professional Plus may not be used on official loan devices.

External partners

Who is considered a contractual partner and may use licenses from the Campus and School Agreement?

"Qualified users of research and teaching" (EQU) within the meaning of the Campus and School Agreement are employees or contractual partners (not students) who access or use an educational platform product for the benefit of RPTU.

Use of the licenses is only permitted for the own purposes of RPTU, its subsidiaries (RPTU has the right to control the company) and its "affiliated companies"(other participants in the federal framework agreement).

This means in particular that use by employees of affiliated institutes or spin-offs is prohibited.

Alumni may not use these licenses either.

 

External parties who are not contractual partners

If licenses are required for external partners that are not covered by the Campus and School Agreement, the license costs (e.g. M 365 or CALs) must be borne by the respective organizational unit. (e.g. M 365 A3: approx. 70 € p.a.)
