Instructions for: Follow-me system

Description

The use of the multifunctional devices (printing, copying, scanning) in the Follow-me system is subject to a charge. This is billed either via a personal credit that you can top up via a rebooking machine (only available in KL) or via cost center.

The person responsible for a cost center (cost center owner) can be designated as the person responsible individual persons or RPTU accounts (user) to use the devices in the Follow-me system at the expense of this cost center. They can also see which printouts have been made via their cost center.

If they do not wish to manage and control cost center printing themselves, the person responsible for a cost center can also delegate these tasks to other persons whom they can designate as approvers for the administration of authorized users or as observer to control cost center usage.

In this guide, you will learn how to view and, if necessary, manage authorizations for cost centre printing.

  • Various cost center management functions are only available to cost center owners or registered managers or approvers.

Cost center management for the Follow-me system
Step 1: Log in to the service portal

The cost center management for the Follow-me printing system can be found in the RHRZ service portal.

Log in with your RPTU account name (e.g. mus77ter) and RPTU password.

Step 2: Create cost center in the Follow-me system & register as responsible person

If you are responsible for a cost center(cost center owner) and would like it to be used for future billing in the Follow-me printing and copying system, you can enter the cost center in the cost center management for the printing system.

When you add the cost center, you will also become the person responsible for this cost center.

As the person responsible, you can use the service portal to control which persons or RPTU accounts are allowed to use the cost center for the Follow-me system. You can also delegate these control tasks to others. (see section "Defining users, approvers, observers")

To have a cost center entered for use in the Follow-me system as a cost center owner, select the menu item "Print system cost centers" in the service portal.

Under "Notes for cost center managers", enter the cost center for which you are responsible and select the "Add cost center to my account as manager" button.

RHRZ will now check whether you are actually responsible for the specified cost center. This can take up to 72 hours. You can check the approval process via the service portal. You will not receive a separate notification that you have been entered as a cost center manager.

Step 3: Define users, approvers and observers

As the person responsible, you can select an approver, observer and the users for your cost center.

  • The users of a cost center may use the cost center for the Follow-me printing system.
  • The observer can see who has copied, printed or scanned how much via the cost center.
  • The approver may add users to the cost center or remove them again.

As the person responsible, you already have the authorizations of an approver or observer, so do not try to add your own RPTU account as an approver or observer
If you want to use the cost center yourself for printing, copying or scanning, enter your RPTU account as the cost center user.

For each role mentioned, the desired user, approver or observer can be selected by clicking in the gray field (e.g. "Click to select user") and then added.

To select the desired person or RPTU account, click in the gray field and a search window will appear. There you can find and select the desired RPTU account by entering the person you are looking for.

Confirm your selection with "Accept selected user".

Finally, select the "Add new user" button to assign the desired role to the selected RPTU account.

Option: Remove users, approvers and observers

RPTU accounts that should no longer be users, approvers or observers of a cost center can simply be removed via the trash can on the right in the relevant column.

Please note that the cost centers for the printing and copying system are not automatically reassigned, e.g. when a department is changed. Therefore, if a person leaves your department, remove the relevant RPTU account as a user of your cost center.
